Electronic Assessment System (EAS)
Requirements Form Instructions

Welcome to the Electronic Assessment System. Using EAS you will be able to assess
performance of programs and/or students.
Students will submit documents to the web-based system as part of, or in
addition to, their normal academic coursework for specific courses and sections
defined by this form. Instructors and,
optionally, external assessors will evaluate students’ work and enter those
evaluations into EAS. The body of the
submissions and evaluations then becomes the basis for multidimensional
reporting and analysis for program-, college-, or University-wide assessment
purposes.
The proper completion of this EAS form is the first
step in implementing the assessment needs for your specific program. If you have any questions regarding EAS or
this form please contact your college’s EAS administrator for assistance.
Use this page to define the
basics of your assessment needs. Include
the title or name of your requirement, its description (you will probably need
to attach the description, as most requirement descriptions are lengthy), and
the courses to which you want this requirement associated. Use this form also to change or delete
existing EAS requirements. Once you have
defined your requirement, associated it with courses, and completed the detail
form, submit your assessment request to your department chair and college dean
for approval. Your EAS administrator
will assist you with the completion of this form and will review it for
completeness and accuracy before you submit it to your dean. After approval by the dean your requirement
will be entered into the appropriate academic databases. Refer to the EAS requirement timeline for all
necessary deadlines for submission of this form.
On this page you will
describe the details of your assessment requirement: what dimensions you will
use for assessment; what metrics (scale) you will use, and optionally what the
metric definitions are for each dimension.
For example, a writing sample may be assessed on the dimensions of Focus
and Purpose (did the paper address the topic), Organization (did the paper have
a coherent framework for the paper—an introduction, thesis, supporting
arguments, and a conclusion), and Language/Style (did the paper use language
appropriate for the target audience).
You will probably want to use a paragraph to explain to your students
and instructors each assessment dimension.
Your assessment metrics (for example, Unsatisfactory, Satisfactory, and
Proficient) can be defined individually for each assessment dimension. For example, the definition of “proficient”
will be different for Organization and for Language/Style. Provide those definitions in the area
provided, or else generic definitions will be used. A predefined list of metric scales is
provided; if one of these does not meet your needs contact your EAS
administrator.
Also on this page you will
see options for allowing multiple submissions (called artifacts in EAS) by
students (note that mistaken uploads can always be undone, and you should not
take that into account when deciding the maximum number of attempts), and for
context attributes for the requirement.
Context attributes are questions the student will answer that relate to
the requirement being completed. An
example of a context attribute would be (for a field teaching experience
requirement) in what type of school environment was the field experience
located: urban, suburban, or rural. You
can have any number of context attributes of varying type (checkbox, text
input, or multiple choice) for your requirement. Context attributes are optional. Contact your EAS administrator for examples
of context attributes in EAS and how they can be associated with requirements.
The following timeline
ensures that course and assessment requirements are completed according to
customer service best practices (i.e. don’t change requirements on students
after they have registered for the class).

One year prior
to the start of the term: Programs
and colleges decide what they intend to assess, what possible metrics will be
used for assessment, and what possible courses will be associated with the
assessment requirements.

Nine months
prior to the start of the term: Department
chairs start the EAS requirement creation process in conjunction with their
colleges’ EAS administrators. The process
will be completed before the following milestone.

Six months
prior to the start of the term (beginning of early registration): Courses associated with the new requirement are
flagged as assessment-related. Changes
are due to the college EAS administrator two weeks prior to the start of early
registration. The details of the
assessment requirements do not need to be finalized, but the courses to which
the requirements are associated must be final by this date to allow system
administrators adequate time to update the systems.
